Comparable quote checklist
NorthField Sourcing RFQ checklist
Close the open choices on paper first. A checklist is not a purchase order and it is not a code approval.
Order of checks
- 1
Use
Occupancy, permanent or relocatable, and any later phase.
- 2
Size
Module dimensions, eave height, clear span, bay spacing.
- 3
Loads
Wind speed, ground snow load, seismic design category, live and dead loads.
- 4
Scope
Shell, delivered, installed or turnkey, each with its exclusions.
- 5
Proof
Which drawing, calculation and quality file belongs to the quoted system.
Fields that keep two replies comparable
Building
Commercial
Standard layouts shorten the comparison only when the published options already fit. A custom clear span needs its own engineering note. Shell pricing leaves the foundation and the local trades with the buyer. Turnkey language still needs a list of exclusions. Those two disputes are decided on the brief, not by a slogan.
Checks before an alternative is accepted
Which specification choices are still open?
Any blank load, any unstated insulation value, any door that is drawn but not sized, and any finish that appears only in a photo. Mark each one open. Do not copy a number from a different climate to look complete.
What should be verified on the alternative itself?
The supplier name, the system name, the member list, the coating, and the jurisdiction the calculation used. A similar floor plan is not the same transport weight. Ask for the sheet that matches the quotation line.
Where do code names sit on this list?
IBC, IRC, HUD Code, ASCE 7 and AISC 360 are names of documents to request when they apply to that system and that city. They are not badges owned by NorthField Sourcing. AWS D1.1 is a welding question for a steel scope, not a blanket claim.
Send the checklist as a requirement
- Use, dimensions and jurisdiction on the first pass
- Quantity and destination even if the date is a window
- Scope word kept separate from freight and tax
- Unknown loads written as unknown
